What we don't offer

We are not an event planning company. We do not handle venue selection, hotel block negotiation, A/V production, registration logistics, food and beverage, attendee communications, or program content. We are the transportation layer that integrates with your event planning team or DMC firm. For events without an existing event planner, we recommend partnering with established Seattle DMC firms or working directly with your venue's group services department for non-transportation logistics.

Loop service adjusts to support lunch-period movement. For conferences with off-site lunch sponsor activations, additional shuttles deployed to satellite venues. Otherwise, loops continue at reduced headway through 1:30 PM session restart.

How does conference shuttle pricing work?

Conference and convention pricing is structured as per-event packages rather than hourly bookings, because attendee logistics involve multiple vehicles, multiple drivers, and multiple operating days that don't fit a simple hourly model. Three tier ranges: Small conferences (100-500 attendees, single venue) typically run $4,500-$12,000 per event covering 1-3 days. Mid-size conferences (500-2,000 attendees) run $14,000-$45,000 covering 2-5 days. Large conventions (2,000+ attendees, multi-venue) run $50,000-$250,000+ covering 3-7 days. Custom quotes provided after reviewing your attendee count, venue locations, hotel block, and schedule.

Which Seattle conference venues do you serve?

All major Seattle and Eastside conference venues. Downtown Seattle: Seattle Convention Center (Arch and Summit buildings), Hyatt Regency Seattle, Bell Harbor International Conference Center, Westin Seattle, Sheraton Grand, Pan Pacific, Four Seasons, Fairmont Olympic. Eastside: Meydenbauer Center (Bellevue), Microsoft Conference Center (Redmond), Hyatt Regency Bellevue, Bellevue Westin. North Sound: Lynnwood Convention Center. Can you handle attendee shuttle loops between hotels and the venue?

Yes. Attendee shuttle loops are our most-requested conference service. Standard configuration: continuous loop service between 3-8 conference hotels and the main venue, operating 7 AM through 11 PM with 10-20 minute headways depending on attendee volume. We provide branded signage in vehicle windows with conference name and route number for attendee orientation. Captain coordinator on-site at venue manages dispatch in real-time as attendee patterns shift through the day. Mini Coach (24-passenger) is our standard loop shuttle vehicle.

Do you provide VIP speaker and sponsor transportation?

Yes. VIP speaker service is a separate service line from attendee shuttle loops, with different vehicles, drivers, and scheduling. Configuration typically includes: Premium SUV for individual keynote speakers and major sponsors with dedicated driver assigned for the duration of their visit, SeaTac pickup with name-card meet-and-greet, hotel-to-venue green room transfers, off-site dinner and event transport. Pricing for VIP service is in addition to attendee shuttle costs. Many conferences book 3-8 VIP SUVs alongside the attendee loop service.

How do off-site evening events work?

Off-site evening events (welcome receptions, gala dinners, sponsor parties) typically require concentrated shuttle service during a 60-90 minute departure window from the venue to the off-site location, then a 90-180 minute return window. We coordinate 4-12 Mini Coaches or Sprinters running continuous loops during these windows. Common Seattle off-site venues include Museum of Pop Culture (MoPOP), Chihuly Garden and Glass, Pike Place Market (private events), Bell Harbor, the Olympic Sculpture Park, and waterfront cruise venues. We coordinate with the venue on drop-off zone, queueing, and departure timing.

Do you provide a dedicated account manager for our event?

Yes. Every conference and convention engagement is assigned a dedicated account manager from booking through post-event reconciliation. The account manager coordinates planning calls before the event, handles real-time changes during the event, manages on-site captain coordination, and produces post-event reporting including ridership data, cost detail by vehicle and driver, and recommendations for the next event. Account manager is the single point of contact for your event planner, hotel concierge teams, and on-site staff.

Can you support multi-day conventions with continuous coverage?

Yes. Multi-day conventions typically run 3-7 days of continuous shuttle coverage, sometimes including pre-event sponsor setup days and post-event teardown days. Coverage pattern: daily attendee loops 7 AM through 11 PM, VIP speaker support across speakers' visit windows, off-site evening event support on social-program days, plus pre-event hotel-block airport shuttles and post-event SeaTac departure waves. Multi-day continuous coverage is coordinated under one master reservation with one invoice covering the entire event.

Do you handle branded vehicle signage and attendee orientation?

Yes. Standard inclusion on conference packages: removable branded signage in vehicle windows showing conference name, route number, and destination. We do not provide full vehicle wraps with custom event branding (that requires advance vehicle leasing and is significantly more expensive). For attendee orientation, we provide a route map for the conference welcome packet, on-site captain coordinator wearing a conference badge, and standardized driver scripts for common attendee questions. Branded signage is included; vehicle wraps available on request as a custom add-on.

What are your invoicing and payment terms for events?

Conference and convention engagements typically structure as: 25% deposit on signed master service agreement (60+ days before event), 50% additional payment 30 days before event, balance due Net 30 after event reconciliation. For repeat-customer events (annual conferences), full Net 30 post-event terms available. We accept ACH, wire transfer, and major credit cards. Per-event MSA and SOW documentation provided for procurement review; we are registered for vendor onboarding on Coupa, SAP Ariba, and most major procurement platforms.
