When the holiday party shuttle is late, the photos start without half the team. When the client appreciation event runs out of return rides, your guests are standing on a sidewalk in Belltown at 11 PM watching Uber surge prices climb. When the board members arrive at the executive offsite in three different ride-share cars instead of one coordinated SUV, the optics are already off before the first meeting starts. Corporate event transportation is invisible when it works and conspicuous when it doesn’t — and “conspicuous” is the last word an event coordinator wants in the post-event recap.

Seattle Shuttle has fifteen-plus years of group transportation experience moving people across Washington State. For corporate event clients, we handle company-hosted internal events (holiday parties, all-hands, offsites, employee appreciation) and external events (client appreciation, customer summits, board meetings, investor days). How is this different from your other event pages?

This page covers company-hosted corporate functions where your company is the host and the riders are either employees (internal scope) or clients and VIPs (external scope). Weddings, school events, and public festivals are covered on our Events suite pages — different buyer, different service standard. Multi-day industry conferences and conventions are covered on our separate Conference & Convention page with shuttle scope built specifically for that scale. The simplest test: if your company is throwing the event, this is the right page.

Will chauffeurs sign an NDA for our board meeting or investor day?

Yes — and it's the default for board, investor day, and high-discretion client work. Company-specific NDAs are routine for our Tier Two scope. Chauffeurs sign before the first pickup. No social posts, no venue photos, no conversation about anything overheard in the vehicle. Discretion is the job — we screen for it before chauffeurs get assigned to high-discretion scope, and we don't reassign drivers who can't hold that standard.

How do you handle the return-trip surge at the end of a holiday party?

The return trip is where holiday parties go wrong — outbound is easy because everyone arrives in a window, but the return is scattered across two or three hours as guests trickle out. We size the return-trip capacity against the actual event behavior, not the outbound capacity. Multi-vehicle return service for the first ninety minutes after event close, scaling down to single-vehicle final coverage for stragglers. The goal is no guest waiting on the sidewalk and no Uber surge moments.

Can the same chauffeur cover a multi-day executive retreat?

Yes, and chauffeur continuity is the default for Tier Three multi-day programs. Same driver, same vehicle, across the engagement. This matters more than it might look — by day two of a leadership offsite, the chauffeur knows the executives by name, knows where the coffee stops are, and knows the meeting cadence well enough to anticipate the next move. FMCSA Hours of Service limits mean truly long multi-day engagements require driver rotation across the schedule, but continuity inside each service day is the standard.

What's the lead time for an event quote?

Internal employee events get a same-day or next-business-day quote for most scope. Client and VIP events with more complex requirements typically take two to three business days for a quote that accounts for protocol coordination and venue logistics. Multi-day program quotes take a week, with a discovery call to walk through the cadence and continuity needs. Last-minute events inside 72 hours can be quoted on capacity availability rather than guaranteed yes.

Do you handle company hospitality at sporting venues?

Yes. Corporate hospitality at sports and cultural venues is a category we run regularly — coordinated drop and pickup at venues with their own traffic and security protocols. The complication isn't the event itself; it's the venue logistics around it, which we know how to navigate. We coordinate with venue parking ops, work the corporate hospitality entrance protocols where they exist, and time the pickup against the actual event end rather than the scheduled end time.

What if the event runs three hours late?

We bill from yard departure to yard return, which captures actual hours rather than scheduled hours. OT calculation kicks in at the standard 14-hour threshold. For Tier Two VIP scope, hold-and-wait is built into the standard rate — chauffeurs expect to wait between event segments, and the rate reflects that. For internal employee events, we'd rather know if the event is likely to run long during the brief than discover it at 11 PM when the original return trip was scheduled for 10.

How does invoicing work for our AP department?

Single-event invoicing inside 48 hours of event wrap. Net 30 terms from invoice date, paid by ACH or check at your AP preference. Multi-day program work invoiced monthly on the first business day. Repeat-event clients can opt into consolidated monthly invoicing that bundles all events booked in a calendar month into a single AP submission. Line-item detail by event, by vehicle, by hours — designed to drop cleanly into corporate AP systems without requiring follow-up clarification.
